The Summerland Museum and Archives is a public, not-for-profit institution established in 1969 by a passionate group of Summerland residents. It provides locals, visitors, and researchers with opportunities to explore the history of Summerland.

We are currently seeking an enthusiastic person to fill the role of Administrator for our museum. The Administrator will perform a variety of administrative duties that ensure the day-to-day functions of the museum are met. They will also work collaboratively with the Curator where necessary in tasks related to events, fundraising, and other museum-related areas.

Duties for this position include:

  1. Conduct the administrative work of the museum, including but not limited to keeping track of Society membership and tax-deductible donations; making bank deposits; issuing invoices; ensuring finances are kept up to date; electronic and physical filing of board meeting material and policies; managing and periodically ordering office supplies; tracking visitor statistics; and producing a seasonal newsletter.

  2. Ensure that the daily museum operations are carried out, such as opening the Museum, providing excellent customer service (i.e. greeting guests, providing general information, and facilitating sales), and merchandising the Gift Shop.

  3. Works in conjunction with the Accountant, Treasurer, and the Board to manage operational funds for the Museum, including contributing to grant applications and completing final grant reporting requirements, and planning and implementing fundraising initiatives.

  4. Support the implementation of the education and public outreach programs, such as special events, tours, workshops, lectures, and kids’ activities.

  5. Collaborate with the Volunteer Coordinator to recruit, organize training, and schedule volunteers for Front Desk, special events, tours, and other tasks.

  6. Process inquiries and registration for museum programs, special events, exhibits, and other activities or services.

  7. Joint supervision of summer student with the Curator in Administrative related duties.

  8. Update and maintain the museum website including information on museum programs and events.

  9. Where necessary, assist the Curator with the setup, changes, and takedown of exhibits.

  10. And other related duties.

 

QUALIFICATIONS:

  1. Great interpersonal skills and enjoys working with the public, including children.

  2. Good organizational abilities.

  3. Excellent written and oral communication skills.

  4. Attention to detail and accuracy.

  5. Ability to handle competing priorities and frequent interruptions.

  6. Computer experience necessary. Specifically experience with Microsoft Office Suite (Word, Excel, Publisher, and PowerPoint), Adobe software, Squarespace, Mail Chimp, and social media platforms.

  7. Professional experience working in the non-profit sector or similar organization an asset.

Job Type: Permanent Part-time

Salary: $20/hour

Hours: 20 hours a week

Three-month probation period.
